We are recruiting,for immediate hire, on behalf of one of our major clients—a well-established company operating in the international shipping and logistics sector—a: SHIPPING OFFICE CLERK – DOCUMENT MANAGEMENT
Employment percentage: 100%
Work location: Lugano area
Remote work: not availableThis position is also designed for a junior candidate interested in entering the international shipping industry and gradually acquiring specific skills in the document management of ocean shipments.
The selected candidate will join a structured team and, through a mentoring and training program, will be guided toward increasing autonomy in managing their assigned tasks.
DUTIES AND ACTIVITIES

Management and updating of shipping records.

Check the status of shipments and information related to ETD and ETA.

Preparation, scanning, verification, submission, and archiving of documentation.

Preparation of documents for the offices of assignment.

Management and control of HBLs, MBLs, and drafts, including related amendments and corrections.

Updating documentation due to changes in shipments, vessel changes, vessel roll, and short shipments.

Completion of post-shipment documentation, including the Packing List, Quarantine, NUFT, and Manufacturer's Declaration.

Management of Telex Release Procedures.

Requests to shipping companies for insurance policies, missing documents, corrections, and supporting documentation.

Uploading, verifying, and submitting customs declarations, and managing related requests.

Verification, correction, and submission of fumigation certificates.

Updating and processing paperwork based on any changes, travel plans, and departure dates.

Handling of requests regarding advance notice of transshipment connections.

Arranging for couriers to pick up and deliver the original documents.

Creation and filing of folders related to completed cases.
-
Management and updating of users in the tracking system and related support.
-
Opening GECO tickets for support requests.
-
Assistance with the office's other documentation and administrative tasks.
REQUIREMENTS

Business/administrative training or equivalent education.

Interest in pursuing a career in the international shipping and logistics industry.

Proficiency with the main computer tools.

Precision and meticulous attention to detail.

Strong organizational skills and a systematic approach to managing tasks.

Reliability in managing documents, information, and deadlines.

A willingness to learn and an interest in acquiring new skills.

Strong collaboration skills and the ability to work well in a team.

Excellent knowledge of Italian.

Good knowledge of English
Previous experience in the shipping or logistics industry is preferred, but not required: we are also interested in considering junior candidates who are eager to learn and motivated to build a career in this field.
